Ordering, Documentation & FAQ

Everything you need to order and import with confidence — how to enquire, the documents that ship with every consignment, Incoterms, packaging and payment, and the questions buyers ask us most.

Ordering & documentation

How to enquire, ship and pay — and the documents that travel with every consignment.

How to order

Send an enquiry with the product name, grade and quantity you need, plus your destination port and preferred Incoterm, through the Get a Quote button or to info@scapexexports.com. We reply with current availability, pack options, price and lead time.

Confirm the quotation to place the order. We then issue a proforma invoice and agree the documentation set for your destination before dispatch.

Documentation supplied with every shipment

Each consignment ships with a Certificate of Analysis (COA) and a 16-section Safety Data Sheet (SDS / MSDS).

Standard export paperwork — commercial invoice, packing list, certificate of origin and the bill of lading or air waybill — is prepared to suit the destination and mode of shipment. Additional statements are provided where we can support them for the product and grade ordered.

Incoterms & shipping

We quote on the Incoterm you prefer — commonly EXW, FOB, CFR or CIF. In short: EXW is collection at origin; FOB puts the goods on board at the load port; CFR adds sea freight to the destination port; CIF adds insurance as well.

Sea freight typically moves through major Indian ports such as Mundra and Nhava Sheva (JNPT); air freight and courier are available for smaller or urgent consignments. Lead time depends on the product, grade and quantity and is confirmed with the quotation.

Packaging & pack sizes

Products are supplied in export-grade packing appropriate to the material — fibre or HDPE drums, bags, carboys or IBCs, or as agreed for your order.

Pack sizes are confirmed per product; neutral or customised packing can be arranged on request.

Payment

We work with the internationally accepted payment methods used in chemical export. The exact terms are agreed and stated in the quotation for your order, in the currency agreed.

Quality & compliance

Quality is checked before an order is accepted. See the Quality & Compliance page for the control points and what the certificate reports, and the MSDS & COA library to download documents by product range.

Frequently asked questions

The questions buyers ask us most, answered.

How do I place an order or get a quote?

Send an enquiry with the product name, grade and quantity, your destination port and preferred Incoterm, through the Get a Quote button or to info@scapexexports.com. We reply with availability, packing, price and lead time; confirm the quotation to place the order.

What information should I include in my enquiry?

The product name (or CAS number), the grade or specification you work to, the quantity, your destination port or country, and the Incoterm you prefer. The more precise the enquiry, the faster and more accurate the quotation.

Is there a minimum order quantity?

It depends on the product and grade — some are available in small laboratory quantities, others in bulk drums or bags. We confirm the minimum order quantity with your quotation.

Can I get a sample before ordering?

Samples can be arranged for many products on request. Tell us the product and grade and we confirm availability and terms.

What documents do you provide with each shipment?

A Certificate of Analysis (COA) and a 16-section Safety Data Sheet (SDS/MSDS) with every shipment, plus the standard export set — commercial invoice, packing list, certificate of origin and bill of lading or air waybill — prepared for your destination.

What is a Certificate of Analysis (COA)?

A COA is a document that reports the tested properties of the specific material against its specification — identity, assay/purity and the relevant physical and chemical parameters — so your quality team can verify the batch on arrival.

What is a Safety Data Sheet (SDS or MSDS)?

An SDS (also called an MSDS) is a 16-section document that sets out the hazards, safe handling, storage, transport and emergency information for a chemical. We supply an SDS with every product.

Can you provide a Certificate of Origin?

Yes. A certificate of origin is part of the standard export documentation we prepare, alongside the commercial invoice and packing list.

Which Incoterms do you work with?

We quote on the Incoterm you prefer — commonly EXW, FOB, CFR or CIF. Tell us your destination port and preferred term and we quote accordingly.

What is the difference between FOB and CIF?

Under FOB (Free On Board) the price covers the goods loaded on board the vessel at the origin port, and the buyer arranges and pays for sea freight and insurance. Under CIF (Cost, Insurance and Freight) the price also includes sea freight and insurance to the named destination port.

Which ports do you ship from?

Sea consignments typically move through major Indian ports such as Mundra and Nhava Sheva (JNPT), from our base in Ahmedabad, Gujarat. Air freight and courier are available for smaller or urgent orders. The route is confirmed per shipment.

What are typical lead times?

Lead time depends on the product, grade, quantity and whether the material is in stock or made to order. We confirm the lead time with your quotation.

How are products packed for export?

In export-grade packing appropriate to the material — fibre or HDPE drums, bags, carboys or IBCs — palletised and marked for international freight.

What pack sizes are available?

Pack sizes vary by product, from laboratory quantities to bulk. We confirm the available pack sizes for your product with the quotation.

Can you provide neutral or custom packing?

Yes, neutral or customised packing and labelling can be arranged on request; confirm your requirement in the enquiry.

What payment terms do you accept?

We work with the internationally accepted payment methods used in chemical export. The exact terms are agreed and stated in the quotation for your order.

Do you handle hazardous or dangerous-goods cargo?

Yes. Where a product is classified as dangerous goods, it is packed, marked and documented to the applicable transport rules for the mode of shipment. The SDS sets out the classification and handling.

Is Scapex a manufacturer or a trader?

Scapex Exports Pvt. Ltd. is a manufacturer and supplier of specialty and fine chemicals based in Ahmedabad, India, serving industrial buyers worldwide. Availability and grade are confirmed per enquiry.

What grades do you supply?

Grade availability depends on the product — technical, food, pharmaceutical, cosmetic, reagent and other grades where applicable. The grade is confirmed for each product at the time of enquiry.

Which countries do you export to?

Scapex Exports supplies industrial buyers worldwide, with markets across Asia, the Middle East, Africa, Europe and the Americas. Tell us your destination and we confirm the shipping route and documentation.

Do you hold quality certifications?

Share your requirement and we confirm the certifications, registrations and statements we can support for that product; documentation is provided against the specification agreed for your order. See the Quality & Compliance page for detail.
